How to create a change order
Add or modify scope mid-project and get client approval with a signed change order.
Projects change. When the client wants to add a feature, swap materials, or adjust the scope, a change order keeps everything documented and approved before you do the work.
Open the project
Go to Projects and click the project that needs a change order.
Go to the Change Orders tab
Click the Change Orders tab. You'll see any existing change orders here, or an empty state if this is the first one.
Click "New Change Order"
Give it a clear title — something like "Add recessed lighting to kitchen" or "Upgrade to quartz countertops". Add a description if you want to explain the reasoning.
Add or modify line items
Add the new line items that represent the scope change. Include cost codes, quantities, and pricing. You can also reference existing budget items if the change modifies something already in the project.
Attach a contract for signing (optional)
If you need a formal signature, attach a contract to the change order. You can add signature fields and the client will sign digitally through the portal.
Send to the client
Send the change order to your client for review. They'll see it in their portal, where they can accept or decline.
What happens next
- When the client accepts the change order, the new line items are added to the project budget automatically
- Your job costing table updates to include the additional scope
- If you attached a contract, the signed copy is stored on the project for your records
- You can optionally create an invoice for the change order amount right from the change order page
Always create a change order before starting extra work. It protects you and your client by putting the scope change and price in writing before anyone picks up a hammer.
