How to add signature fields to a proposal

Attach a contract with drag-and-drop signature fields so clients can e-sign directly in the portal.

For anything legally binding, you want a real signature on a real contract. Kaliun's signing editor lets you upload a PDF contract, drag signature fields onto it, and collect e-signatures via Documenso — all from the proposal.

Open the proposal

From Proposals, click the proposal you want to add a contract to.

Click "Add Contract"

Look for the Contract tab on the proposal page. Click it, then click + New Contract.

Upload your contract PDF

Drag and drop your PDF, or click to select. This is your standard contract template — scope of work, terms, warranty language, whatever your legal team approved.

Drag signature fields onto the PDF

From the toolbar, drag any of these onto the PDF:

  • Signature — where the client signs
  • Initials — for per-page initials
  • Date — auto-fills with the signing date
  • Text — for any fill-in field (name, address, etc.)
  • Checkbox — for "I agree" confirmations

Resize by dragging the edges. Click to edit the field label.

Assign fields to signers

Each field needs to know WHO signs it. Click a field and pick:

  • Client — the person you're sending the proposal to
  • You — pre-signed by you
  • Co-signer — a second party (spouse, witness, second GC)

If you have co-signers, add them in the Signers panel first.

Save the contract

Click Save. The contract is attached to the proposal and the signing fields are ready to go.

Send the proposal as usual

When you send the proposal, the client portal shows both the proposal line items AND the contract with signing fields. They review both, sign once, and you're done.

What the client sees

When the client opens the portal:

  1. They see the proposal line items and total
  2. Below that, the contract PDF with signing fields highlighted
  3. They click each field, type/draw their signature, and hit Sign
  4. Kaliun sends both parties a signed PDF copy by email
  5. The contract is archived in Kaliun's audit log

Kaliun + Documenso produces legally binding signatures in the US (ESIGN Act), EU (eIDAS), UK, Canada, and most countries with similar e-signature laws. For contracts over $10k or anything real-estate- related, check with a lawyer in your jurisdiction — e-signatures are valid, but some edge cases have extra requirements.

Tip: save your standard contract once and reuse. Under Settings → Contract Templates you can save the PDF + field layout as a template that gets attached automatically to every new proposal.
