How to automatically assign new leads
Route new contacts to the right sales rep as soon as they come in.
When a new lead comes in from your website form or gets added manually, you can have Kaliun automatically assign them to the right person on your team — no manual triage needed.
Create a new workflow
Go to Workflows and click New Workflow. Name it "Auto-Assign New Leads" or "Lead Round-Robin".
Set the trigger
Choose the trigger When a person is created. This fires every time a new contact is added to Kaliun — whether from a website form, a manual entry, or an import.
Add the assignment action
Click Add Step and choose Assign To. Pick the team member who should own the lead. If you want leads distributed evenly across your sales team, choose the round-robin option and select the team members to rotate through.
Add a notification (optional)
Add a Send Email or notification step so the assigned rep knows immediately. Include the new lead's name, phone number, and how they came in. Speed-to-lead matters — the faster you respond, the more likely you close.
Save and enable
Click Save and toggle to Enabled. Every new lead is now automatically assigned.
Round-robin distributes leads evenly across your team. If one rep is out of office, you can temporarily remove them from the rotation without disabling the whole workflow.
What happens next
- New leads are assigned the moment they enter Kaliun
- The assigned rep gets a notification so they can follow up fast
- If you chose round-robin, Kaliun tracks whose turn it is and rotates through your team evenly
- No more leads sitting unassigned in your pipeline
