How to log a project expense from your phone
Snap a receipt on your phone and log the expense to a project before you leave the parking lot.
You just left the supply house with $800 of material. Log it now before you forget.
Open the project
In the Kaliun mobile app, find and open the project the expense belongs to.
Go to the Expenses tab
Tap Expenses, then tap the + New Expense button.
Scan the receipt
Point your camera at the receipt. Kaliun's OCR reads the vendor name, total amount, and date automatically and fills them in for you.
Review and pick a cost code
Check that the extracted values are correct — tweak anything the OCR got wrong. Then select a cost code to categorize the expense (e.g., "Lumber", "Plumbing Fixtures", "Electrical Rough-In").
Save
Tap Save. The expense is logged to the project and the receipt image is attached as proof.
What happens next
- The expense appears on the project's Budget tab in both the mobile app and the web dashboard.
- It's categorized under the cost code you selected, so your job costing stays up to date.
- The receipt image is stored in Kaliun's cloud and linked to the expense — no more shoeboxes of paper receipts.
- Your project's committed costs update automatically, so you always know where you stand against budget.
OCR isn't perfect — always review the extracted values before saving. If you don't have a receipt handy, you can skip the scan and type everything in manually.
